FAQ's for NSO's/GSO's/NAM's for Managing Leads Sent Via Groupize
Are you an NSO/GSO/NAM and received a notification that one of your hotels received a group lead via Groupize?
Congratulations! Your properties are being sent qualified leads (called eBids) from corporate Customers directly to their inbox. As the named NSO/GSO/NAM contact for those properties, you received a courtesy notification to keep you informed.

What is Groupize?

Does Groupize charge for the ability to receive or respond to eBids?
NO! Groupize is completely free of charge for suppliers. No commissions to pay us, no marketing package subscriptions to buy, and no system logins to remember. Just qualified leads for group business sent to your hotels' inboxes. (NOTE: Any commissions being requested as part of the eBid process would be between you/your properties and the Customer requesting the bid.)
How did my email address become associated with these properties?
As part our Customers' initial onboarding, the Groupize Implementation team will ask for any NSO/GSO/NAM contacts at either the chain or brand level, and load them into the Customer's account. Contacts can also be added at any point by a Site Administrator at that company. If at any point there needs to be a change of NSO/GSO/NAM contact, please reach out to your contact at the company sending the eBids.
How do I know which of my properties received the eBid and who the property-level notification was sent to?
At the top of your email notification, you'll see the name of the property as well as the email addresses that received the notification.
What if I know that the property contacts are incorrect and need to be changed/updated?
You can click the "Edit Venue Contacts" button right below the listed contacts and it will open an email to hotels@groupize.com. Be specific as to which property and contacts need to be updated.
Can I forward this lead to another property?
No. The eBid notification is unique to the property identified. Forwarding this email to another property will not automatically include them in the offerings, and will result in confusion for the meeting planner sending the eBid. Instead, if you have other properties that should be considered, you can reach out to the planner directly via the email address provided in the notification.
Can I save the planner's email address in my company's CRM database for future use?
No. The email address for the planner displayed is uniquely generated for this specific eBid for this specific hotel. This is part of Groupize's unique platform that allows for easy communication via email, but also capturing data in the platform for the meeting planner's use. Saving and using this email address for future communications will only be associated with this hotel's eBid for this particular event.
What action do I need to take when I receive this email notification?
That is up to you! There is no required action of an NSO/GSO/NAM when receiving this notification. It's a courtesy notification to let you know which of your properties received an eBid via Groupize. However, you can use this notification as a way to initiate any kind of current sales process you have.
Can I respond to the Meeting Planner with an offer on behalf of my hotel?
