Best Practices for Responding to an eBid
First time responding to an eBid sent by a customer via Groupize?

Respond quickly; within 24-hours
Meeting planners are always under tight timelines. The faster you respond, usually within 24-hours of receiving the incoming eBid notification, the better your chance is of engaging with the planner and winning business. The longer a planner has to wait for your response, the greater the chance they’re already considering another property.
Read the eBid notification completely and reference it when completing your response
This email notification contains all the details you’ll need in order to provide the meeting planner with your best offer. The meeting planner may also include important attachments such as a contract addendum or meeting specifications.
Do not change/add/remove/save the email addresses when communicating with the Meeting Planner
The email address in the eBid notifications contains a unique string/code that allows Groupize to track the communications within that specific Planner’s specific event. Changing the email address to anything else (even the Planner’s actual email address) will cause the tracking to break and the communications will not be captured in Groupize. Also, saving a specific eBid's email address will cause confusion later on for future eBids from this or any other client.
Verify your property content within Travelport is updated
Groupize pulls your property listing via the Travelport GDS’s (Apollo, Worldspan, and Galileo). To be sure your property’s displaying the most accurate & up-to-date information to Meeting Planners, be sure the content within Travelport is updated. This can include things like your property name, images, description, meeting rooms, and contact info.
